Extracting into a purchase run more than once
Overview
The purchase run set that displays when you extract into a purchase run has a purchase run type. The purchase run type is saved into the purchase run. We don't clear all lines each time we extract into a purchase run, for reasons shown below. While this gives you more power and control over your purchase run, it can result in duplicated lines if you mix purchase run types and extract one of them more than once.
Try to only use one extract per purchase run. If you extract twice, use the same purchase run type. In some cases you do need to extract twice into a purchase run using different purchase run types. If you do so, you may get some duplciated products.
Procedure
You can extract into a purchase run as many times as you like. The rules used to manage conflicts are as follows:
- When you extract into a purchase run the system deletes all lines in the purchase run that were created by the same purchase run type that you are currently using. As a result:
- if you extract by average weekly sales into the same purchase run twice. The first extract will be deleted and replaced by the second extract.
- If you extract back orders into a purchase run then extract average weekly sales. Both extracts will stay in the purchase run. As you used two different purchase run types. If you extract the back orders again, the existing lines you extracte using purchase run type back order the first time will be deleted and replaced. The average weekly sales lines will stay the same.
- The reasons why it works this way include;
- We need to delete the lines you extracted previously if you reextract into a purchase run. To stop there being duplicate lines
- But we need you to be able to use two different types of purchase run methods in the same purchase run. Some examples of why we need this is:
- Extract most lines using average weekly sales, but then also extract some key lines using min/max run. Since min/max run can be used to keep a stock level of products that are not selling, if they are "must have" lines.
- Extract back orders only, then add average weekly sales for other suppliers
You will be likely to get duplicate lines if you do two extracts into a purchase run using different purchase run types. As explained above this is deliberate. If you want to be sure you clear all the lines and you have extracted using more than one purchase run type, delete or cancel the purchase run.
