Overview
Readysell allows you to accept pre-payments against sale orders. This can be used to handle lay-bys. Follow this procedure to configure your system with the necessary settings.
Procedure
Setting up a deposit percentage
You need to determine the percentage required to stand for the deposit made on the sale. Once you have worked this out a system reference needs to be set up. A user with administrative rights can only set this system reference up otherwise call Readysell for help.
- Log into Readysell
- From the Navigation panel click Administration
- Select Advanced
- Click System Types
In the search bar type in "Sales"
Expand title Show Me Find the code "ORDER-DEPOSIT"
- In the value field, type in the percentage required for the deposit on that order
- Click Save
Log out of sales and log back in
Info title Overiden This value can be overridden by adding a Custom Field : OrderDeposit into customer cards. All orders for this customer will use the value from the Card's Custom Field OrderDeposit value as a percentage instead of using the percentage from the System Type.
Refer to Create custom fields and Add custom field to card
NOTE: YOU CAN APPLY A 50% DEPOSIT TO THE SALES ORDER IF THE SYSTEM REFERENCE IS SET TO 100% AND THE CUSTOM FIELD ON THE CARD IS SET TO 50% BUT YOU STILL NEED TO MAKE THE BALANCE OF THE PAYMENT ONTO THE SALES ORDER SO THAT YOU CAN SHIP AND INVOICE.
Setting up the non-stocked product
- Check and see if there is a general ledger account of "Forfeit Deposits". If not set one up in income section of your chart
Check and see if there is a product category that represents cancelled lay-bys/order payments. Assign the GL account for the forfeit deposit into the field of "Sales" only
Expand title Show Me Set up a product called OC as non-stocked product to stand for order cancellation. Ensure that the product category is "Cancel Lay-By/Order Payment" category. Ensure that the type is "Order cancellation"
