Note

When creating a new product and the ID is duplicated, validation occurs- Product ID must be unique.


  1. From the Navigation panel click Inventory then Products.
  2. Click on button New.
  3. Enter Product ID and Name.

    Tip

    Creating new product types called "Freight Charge" and "Fuel Level". If these are used on a sale order, these lines will be excluded from the main part of the invoice and shown in the footer as either "Freight" or "Fuel Levy"


  4. Select a product Category

    Note

    Product categories ultimately end up classifying the products into stock control and non stock control products.  Make sure you get the correct category selected to begin with so that you do not run into problems further into your every day trading.

          *  Stock Control Product means that stock on hand will be affected during trading

          *  Non Stock Control Product means that stock on hand will not get affected by any product movements (sales / writing stock on and off / purchase receipts / etc.)


  5. From Tab General enter the required Fields
    • Description - This field is used to have detailed information about the product.
    • Manufacturer - Is the company that has created the Product.  This can, in some cases, be the same as the supplier of the product.
    • Image File Name - Location where product images are stored.  (This is not a compulsory field,  however if you load an image into the Status, the moment you hit save on the product, the system will automatically put the image file name into this Image File Name field for you)Alternate ID's - This field is where you will Insert all your alternate codes, i.e. Inner and outer bar-codes, supplier codes, alternate product codes, etc. 
    • Associated Products -  This is where you will enter promotional products (E.g.: buy one get one free)
    • Kit Items -  is an assembling product.  (example: A back to school kit - a pen, a ruler, a lead pencil, an eraser, a pencil case, etc)
  6. From the tab Site enter the site, which site the product is located within.
  7. From the tab Suppliers, click on button New

    1. Key in the Supplier Product ID for the product

    2. Key in the Default Buy UnitUnit (this is the unit that the supplier usually invoices you in)

    3. Key in the Default Order UnitUnit (this is the unit that you send purchase orders to suppliers in)
    4. Select the Supplier card
    5. Key in the Minimum Order Qty (Each) - this is in eaches
    6. Key in the Buy Ship UnitUnit (this is the unit that you usually stock and ship the goods)
    7. Tick the Primary Supplier check box if this is the primary (main) supplier for this product that you want staff to be ordering from as a first choice out of a selection of suppliers
    8. Archived - this is a check box you can use if the supplier needs to be archived only on this product.
  8. From the tab Alternate ID, insert all your alternate codes, i.e. Inner and outer bar-codes, supplier codes, alternate product codes, etc.
  9. From the tab Settings

    1. Select a Tax Code Buy. If tax is applied when purchasing then insert tax code of INP. If tax is exempt then insert tax code of FOA

    2. Select Default Sell Unit (this is usually Each, but it is the unit that you sell it in)

    3. Volume - This field is used to calculate the weight of the product , for freight purposes. 

    4. Category Type is set to either  

      • Stock Control Product

      • Non Stock Control Product by the setting of Product Category above

        The aggregation/consolidation of product lines for a sale order or quote does not apply to Non Stock Control Products. This means that contract discount or quantity break discount price will not be applied. This allows quote for printing service setup to be customised to reflect the work breakdown costing.

        Example 1 : A contract specifies that when ordering quantity is more than 10 for a non stock control product NSCP-A 

                             a 10% discount will be applied to the product sell price.

                             Place an order for product NSCP-A with quantity = 12, however create 2 separate product lines for NSCP-A with quantity = 6 for each line

                             (as opposed to a single product line for quantity = 12).  

                             Expected result : Aggregation/consolidation does not apply to the NSCP-A product lines

                                                         thus the 10% contract discount will not apply to the sell price.

               

        Example 2 : NSCP-A sell price is set at $1.00 each. Quantity break discount is set at $95.00 for order quantity more than 100.

                             Place an order for product NSCP-A with quantity = 120, however create 2 separate product lines for NSCP-A with quantity = 60 for each line

                             (as opposed to a single product line for quantity = 120).  

                             Expected result : Aggregation/consolidation does not apply to the NSCP-A product lines

                                                         thus the quantity break discount will not apply to the sell price.



    5. Select a Tax Code Sell. If tax code applies when selling then insert GST. If tax is exempt when selling then insert FRE.

  10. From the tab Sell Prices
  11. Your base price is the one that matches the sell unit on tab Settings (do NOT enter a qty into the Sell Price Break field, leave it as 0)
  12. Bulk1 is a cheaper sell price but you have to put a qty into the Sell Price Break field (refer documentation: Setting up quantity break sell prices)
  13. Once all appropriate fields are selected click Save and Close
