How to Handle Sales Orders/Web where the Eway Payment Value received varies to the Sales Order Value

There will be times whereby a Sales order drops into Readysell with a Full Payment Received however the total value of the lines are less than the payment received.
Occassionally the products on the order may no longer be available and you may need to substitute.
In this case, the full payment has been made and committed into your Bank Account.
Once the Order is fully invoiced you will need to refund the difference back to the Customer.

Payment Received is greater than the Sales Order Total Value

Procedure:

  1. Set up in the General Ledger Chart an Account 31023 - Customer Refund Due
  2. Set up a Non Stock Product Category called Customer Refund Due. Ensure the Costing Method = None
  3. Assign the General ledger account of 31023 to this Non Stock Product Category in the Sales field. Save it.

  4. Create a Product to stand for the Refund and call it something like 'REFUND DUE' with a description of 'Customer Eway Refund Due'. 
    Ensure that you assign the Non stock product category of 'Customer Refund Due' to this product.
    Ensure that both tax codes are Exempt and there is no Sell or Cost prices on this product.

  5. You will need to add this product to the Sales Order/Web for the difference in Value .

  6. When you are ready to Refund the customer, you will need to enter a Bank Payment and dissect it against the General Ledger account of 31023. Then log onto your bank account and electronically do the refund and notify the customer. 
    Eventually the General Ledger Account of 31023 should nett out to zero.
