Making use of Office Brands Support For Changing Stock Unit

Overview

Office Brands may have some products setup to sell in a box but which you want to be able to break down and sell by the each.  Office Brands know some dealers require this, on some products they have setup the ability to change the stock unit of the product. When this is the case the stock unit button goes from grey to enabled. Using the stock unit button is the best way to change the units on your product to be different to Office Brands.

The old way of doing things, manually changing the unit and flagging the product to not update cost and sell prices from WebX is still there. But it using the stock unit button is much more controlled and allows you to still use the automatic updates from OneX.

Take care when pressing the button more than once. The effect of the button changes depending on the product currently using a unit of one or a unit containing a number of eaches

It is critical that you understand the button works as a toggle. It can both change a single unit like Box(1) to a multiple unit like Box(12) and it can also change a multiple unit like Box(12) back to a single unit like Box(1)!


If the default sell unit on the product is currently a unit of 1, for example Box(1). The button looks like this :

  • If you press the button, the unit on the product will change from for example Box(1) to Box(12). To what ever unit is shown on the button.

If the default sell unit on the product is currently a unit greater than 1, for example Box(12). The button looks like this :

  • If you press the button, the unit on the product will change from for example Box(12) back to the original Box(1). To what ever unit is shown on the button.

Pressing the button repeatedly can disrupt the sell price and cost on the product. If in doubt about the final cost and sell. Click the  to ensure to the cost and sell prices on the product line up with the price book

Checking the price book and product file to see which products have the price book data needed to enable the the change stock unit button

Go to "price book" on the navigation panel. Right click on the column headings and select "column chooser". Find or add the field "sell unit". Then drag "sell unit" onto your list view and save a view variant. Then sort by "sell unit". All the products with a sell unit other than 0 on the price book are products that you are allowed to sell in a unit different to Office Brands

Go to "product" on the navigation panel. Right click on the column headings and select "column chooser". Find or add the field "OB sell unit available". To add this field you have to click the add button. Then tick the field "OB sell unit available". Once added to your field list. Then drag "OB sell unit available" onto your list view and save a view variant. All products where the "OB sell unit available" field is ticked can have their sell unit changed using the "stock base unit"  button.

Checking you can change stock units

There are cases where a product such as a box of 100 Biro pens is to sold either in box or each pen unit. Readysell's  feature provides users an easy way converting a product, if the option is available, to the lowest product unit so that it can be sold either in the original Office Brands "Default Sell Unit" e.g., Box (1) or Stock Base Unit e.g., Each (1).

The  option is available to products where the Office Brands (OB) "OB Sell Unit Available" indicator is on. As an example, from the screen grab below the option is available to product-id 7000128, 7000187, 7000191 and 7000108.

Also 7000108 has used the option and converted as indicated by the "Use OB Sell Unit"

  1. Ascertain if the option is available for the selected product by check the "OB Sell Unit Available" indicator (use "Column Chooser" to add the indicator to the product list view if required)

    The option is available to 7000141 and not to 7000137

     

  2. Make sure that the product and price book details are matched up e.g., sell prices, default sell, order, buy ship and buy unit etc

If the product has stock on hand. Two stock adjustments will be created and posted automatically. One to move stock out at the old unit and a second to move stock in at the new unit. Have a look at the stock adjustments, they will be the top ones for today and check the stock on hand. Make sure you understand how the quantity on hand has changed to match the new stock unit.

Readysell does not specify a stock unit for products. Stock unit is implied from the default sell unit. Make sure you understand the unit the system expects you to be stocking things in. If the default sell unit is a unit of (1), then you stock the product in that unit. If the default sell unit has a quantity greater than one, for example Box(15), you stock the product by each(1).

Procedure for changing the stock unit

3. Click the  button.

  • The sell price and cost of the product will stay the same. But the default sell unit on the product and the three units on the product suppliers will change. For example from Box(1) to Box(12)

4. Change the name of the product to exclude the product unit if required. For example, if the product unit was Box(1) and is now Box(12). Check the end of the product name and see if the product unit is included anywhere in the product name. If it is then:

  • delete the product unit from the product name.
  • go to the settings tab on the product and click the "ignore product name" checkbox. So that data feeds such as automatic product imports will leave your adjusted product name as it is.

If the product unit has changed. You don't want the product unit to be included as part of the product name. So you must remove the unit from the name if it is there, then set the product to not automatically update product names from data feeds in future.


5. If the product unit used to be a whole box and you are now selling it as a box containing a number of each units. Check to see if there is a barcode on each item. If there is. Add an alternate product id for the inner barcode. On the alternate product id, set the unit to be each. 

You do not have to fill in a product unit on the outer bar code. As the system will use the default sell unit, say for example box(12) anyway. You do have to specify a product unit on the inner bar code if you have/add one. As when you scan the inner bar code you want the system to use the inner unit of Each. So scanning one inner barcode into sale will add one each to the sale not one box.

Trouble shooting

If you follow the procedure above and do not get the result you expect:

  • Save the product record by clicking the "save" button
  • Make sure that the product and price book details are matched up e.g., sell prices, default sell, order, buy ship and buy unit etc:
    • Use  to align product to price book data if required
    • Lining up your prices with the price book a the end of the procedure can resolve some issues and ensures you are looking a the product the way it will look after the next price book update.
  • Make sure the unit on the product is the unit you expect. If you press the  button twice, you can change the unit and change it back accidentally. Resulting for example in the sell unit still being box(1) when you want it to be box (12).
