Service Order Templates are created to standardise and simplify the whole Service because the Templates can be reused to minimise the amount of time required to create a Service transaction.
- Service order template is used when Service Orders are being created automatically.
- Service Orders can be created automatically from :
- Cases - by using the generate service order from case actions;
- Meters - where the meter is set to create service orders based on conditions. Some of the conditions whereby meters can create service orders include eg when toner level drops below a certain level or where a meter reading reaches a particular count.
- Machines - where the service order in respect to that machine is required;
- Service orders.
The fields within setting up a Service Order Template are Optional.
You can decide how much or how little information to fill in for each temple.
This provides flexibility so that templates can be fined tuned to suit particular circumstances.
Setting up a service order template
- In the navigation panel, go to Service then Service Order Templates,
- Click New to create a new template.
- Enter the details you want to store in the template. You must enter a name, but all other fields are optional. The following fields are often used:
- Name : What you are going to call the Template
- Customer - Normally left blank on a template unless you are creating a template to be used for a particular customer.
- Customer Order - Normally left blank.
- Workflow Status = Defaults to 'Logged'
- Select Service Order Priority - can be left blank and selected at the time of creating the service order, or a priority can be selected for this template.
- Select Return Type - Can select either 'Normal' or Warranty' or can be left blank.
- Select Product - Can be left blank or can be a service order for a particular product.
- Optionally, enter details on the Line Items tab:
- Product : Can be left blank or it could be used to standardise service orders and reduce typing. Example the service order could be for a 'call out fee' or 'Travel time'; or 'A drum that needs to be replaced on a printer' etc. You would then enter these products on the line level as it would be a standard reusable Service Order Template.
- The values of the product on the service order lines are exactly the same as when doing a service order line.
- Eg If the template is used to generate a service order to replace a drum on a printer. In this case you would need products to account for the replaced Drum, Call out fee, Service call fee etc.
- When you have finished, click Save.
Creating a new service order from a template
- In the navigation panel, go to Service then Service Order Templates,
- Click New From Template to create a new service order.
- Select the service order template you wish to use, then click OK. Readysell will create a new service order with all the information from the template.
